Privacy Policy
Applies To: Visitors to and users of the public WaterField Farms website.
WaterField Farms ("we," "our," or "us") respects your privacy. This Privacy Policy explains what information we collect through our public website (the "Site"), how we use and share it, and the choices available to you. It works together with our Terms of Service. By using the Site, you consent to the practices described here.
This Policy covers the public Site only — our home page, About, Our Plants catalog, photo galleries, promotional pages, the New Customer application, our Contact pages, and the Wholesale Access page (including the wholesale panel that approved customers reach after signing in). It does not cover our separate wholesale ordering portal — where wholesale accounts are created and orders are placed — which has its own Portal Privacy Policy. Signing in to the wholesale panel uses the same wholesale account credentials as that portal; how your account is created, stored, and used is described in the Portal Privacy Policy. Because we serve the wholesale trade, much of the information we handle is business contact information. Where information identifies, relates to, or could reasonably be linked to an identifiable individual (such as a named contact at your business), we treat it as personal information.
Section 1 — Information We Collect
Information you provide to us.
- New Customer Application: When you apply for a wholesale account, we collect the information you enter — such as your business name, contact email, and phone number — along with a description of your business and the documents you upload. Those documents may include a Connecticut Sales & Use Tax (resale) certificate, our new customer form, and a credit application, which can contain business contact details and a Tax Identification Number.
- Contacting Us: When you email, call, or text us using the details on our Contact page, we receive your contact information and the content of your message.
Information collected automatically. When you visit the Site, we and our analytics provider automatically collect limited diagnostic and usage data, such as your browser type, device identifiers, IP address, the pages you view, and timestamps. This information helps us understand how the Site is used, identify technical issues, maintain security, and improve the experience.
We do not knowingly collect information from anyone under the age of eighteen (18). The Site is directed to the wholesale trade and is not intended for children.
Section 2 — Cookies and Analytics
The Site uses essential browser storage necessary for the Site to function, and it uses Google Analytics to understand site traffic and usage. Google Analytics sets cookies and collects usage data as described above; this information is processed by Google on our behalf. We use it only to measure and improve the Site — we do not use it for targeted advertising, and we do not sell or share personal information for cross-context behavioral advertising.
You can control cookies through your browser settings and can opt out of Google Analytics by installing Google's opt-out browser add-on. For more information about how Google handles data, see Google's privacy policy. If applicable law requires us to treat a browser "Do Not Track" or Global Privacy Control signal as an opt-out request, we will honor it.
Section 3 — How We Use Information
We use the information we collect for legitimate business purposes, including to:
- Review, evaluate, and respond to New Customer applications and set up approved wholesale accounts.
- Respond to your questions, messages, and requests.
- Operate, maintain, secure, and improve the Site, and detect and prevent fraud or misuse.
- Understand site usage through analytics.
- Maintain records and comply with our legal, tax, accounting, and regulatory obligations.
We do not use information collected through the Site for targeted advertising, and we do not sell it or share it for cross-context behavioral advertising.
Section 4 — How We Share Information
WaterField Farms does not sell, rent, lease, or trade your personal or business information. We share information only in these limited circumstances:
- Service Providers: With trusted vendors who help us operate the Site, including Google Firebase (authentication, database, and file storage for uploaded documents), Google Analytics, our website hosting provider, and email services (including Mailchimp, which powers our optional availability-update email list). These providers are permitted to use your information only to perform services on our behalf.
- Legal and Safety: When required by law or valid legal process, or when we believe in good faith that disclosure is reasonably necessary to protect the rights, property, or safety of WaterField Farms, our customers, or the public, or to enforce our agreements.
- Business Transfers: In connection with a merger, acquisition, financing, reorganization, or sale of all or part of our assets, in which case information may be transferred as a business asset, subject to this Policy.
Section 5 — Service Providers and Data Hosting
The Site relies on third-party infrastructure to operate, including Google Firebase and our hosting provider. Information you submit — including uploaded application documents — is stored on servers operated by these providers, which may be located in the United States. We select providers that maintain industry-standard security practices and limit the information shared to what is necessary to provide the relevant service.
Section 6 — Payment Information
The Site does not collect, process, transmit, or store credit card numbers, bank information, or other financial payment data. Any payment arrangements for wholesale orders are handled separately and directly with WaterField Farms, not through this public Site.
Section 7 — Data Security
We implement commercially reasonable administrative, technical, and physical safeguards designed to protect the information submitted through the Site, including encryption of data in transit (HTTPS/TLS), access controls limiting data to authorized personnel, and secure cloud storage. However, no method of transmission over the Internet or electronic storage is completely secure, and we cannot guarantee absolute security. In the event of a data breach affecting your personal information, we will notify affected individuals and applicable authorities as required by Connecticut law and other applicable breach-notification laws.
Section 8 — Data Retention
We retain the information we collect for as long as needed to fulfill the purposes described in this Policy — for example, to evaluate an application, respond to an inquiry, or maintain an approved account — and as needed to comply with our legal, accounting, and tax obligations, resolve disputes, and enforce our agreements. When information is no longer required, we securely delete or de-identify it.
Section 9 — Third-Party Links
The Site may contain links to third-party websites or resources that we do not operate or control. This Policy does not apply to those sites, and we are not responsible for their content or privacy practices. We encourage you to review the privacy policies of any third-party sites you visit.
For example, our weekly availability email signup is offered through a Mailchimp signup form on our wholesale panel. The Site itself does not collect or store your email for this purpose; if you choose to subscribe, your email address is submitted directly to Mailchimp and handled under Mailchimp's privacy policy. You can unsubscribe at any time using the link in any such email.
Section 10 — Your Choices
You may contact us at any time to ask what information we hold about you, to correct or update it, or to request that we delete it, subject to the retention and legal obligations described above. If you receive non-essential emails from us, you may ask us to stop. You can also control cookies through your browser settings and opt out of Google Analytics as described in Section 2. To make any of these requests, use the contact details in Section 12.
Section 11 — Changes to This Policy
We may modify this Privacy Policy at any time. Any changes will be posted on this page with an updated "Last Updated" date. We encourage you to review this Policy periodically. Your continued use of the Site after any modification indicates your acceptance of the updated Policy.
